Changing your sauna heater package before delivery

A heater-package change is a project variation, not just a new line on a shopping list. Before accepting it, reconcile the order, equipment documents, electrical quote and delivery arrangements so everyone is working to the same configuration.

Write the requested change before approving it

Create a change request with the current order reference, existing package, requested package and reason for considering the change. Ask the seller to confirm the full proposed heater and controller identifiers, included accessories, availability, pricing and effect on the order. Keep this as a request until the seller has accepted it and the consequences are clear.

Do not assume two packages are interchangeable because they have similar advertised output or fit the same cabin category. Ask the supplier to confirm the proposed combination for your exact cabin and have the electrician review the changed documentation. This guide makes no compatibility determination and gives no promise that a change is available before dispatch.

Use an impact register

Give each affected item a row: order and invoice; heater; controls; associated equipment; manuals; electrical quote; assembly interface; freight arrangement; commissioning scope. Record old reference, proposed new reference, reviewing party, cost or scheduling question and acceptance status. Mark unchanged items only after asking, not by leaving them out of the conversation.

If a contractor has already ordered materials or booked attendance, ask what the change means for that scope. Get revised inclusions and exclusions in writing. Avoid approving the product change on the assumption that any additional trade cost or return visit will be absorbed by someone else.

Hold the old and new configurations apart

Keep the current authorised package clearly labelled while the variation is under review. Once accepted, issue one new equipment schedule and retire the earlier one from the active folder. Ask the seller which documents accompany the changed order, and ask the electrician whether its accepted quote remains applicable.

Ask the freight contact whether the request affects allocation or timing; do not invent a revised delivery date.

Close the variation only when the revised order, price, equipment schedule, relevant contractor responses and delivery position are all recorded. Save the approval trail. If the request is declined or withdrawn, confirm that the original configuration remains the authorised one. A clear “no change” decision is better than leaving an informal request sitting beside a different final invoice.

  • Record the existing and requested packages exactly.
  • Get seller confirmation of availability, terms and configuration.
  • Have the electrician review the revised documents.
  • Update quote, order, freight and handover references together.
  • Issue one authorised configuration and archive the old pack.

Does asking before delivery guarantee the change will be accepted?

No. Ask the seller about the actual order status and applicable terms. This guide does not invent a variation deadline or cancellation entitlement.

Can I keep the earlier electrical quote?

Ask the contractor to confirm that explicitly against the revised equipment. Do not assume the old scope covers a new configuration.
