Keeping an outdoor sauna maintenance record for a warranty enquiry
A useful sauna maintenance record links each event to its evidence: what was done, when, by whom and under which instruction. Build a folder that another person can understand without interpreting a camera roll or searching through unrelated emails.

Create a stable folder structure
Use clear groups: purchase; installation; manuals; routine care; issues; repairs; correspondence. Put the order confirmation and proof of payment in purchase. Put installer details, completion documents and original installation photos together. Keep the manual version you received, even when a later version becomes available.
Name records by date and event, such as “2026-10-06 rear-panel observation”. Add a short text note to photographs with the location and photographer’s description. Retain the original image and use a copy for arrows or annotations. Use a naming system that everyone maintaining the sauna can follow.
Use a maintenance row with an evidence link
Suggested fields: date; area; observation or task; instruction followed; product or part used; person doing the work; attached evidence; next action. A routine task can be one concise row. An issue needing assessment should have its own event folder rather than being buried in a long checklist.
The supplied Cube 2 manual says to keep proof of purchase and installation details and notes that warranty support may require photos, installation information and evidence of correct maintenance. That explains the practical value of this folder; it does not mean every missing photograph decides an entitlement. [1]
Record advice as well as work
After a phone conversation, note the date, contact and what was agreed, then seek written confirmation of material instructions before acting. Save the exact advice beside the completed task. If the instruction changed, retain both versions and label which applied when.
Do not backfill invented servicing dates to make a record look complete. Use “date unknown”, “approximately” or “no receipt retained” where appropriate. A short honest history is more useful than a polished but unreliable one, especially when several people have cared for the sauna.
Keep warranties and consumer guarantees distinct
The ACCC says warranties are additional to consumer guarantees and cannot replace, change or take away those basic rights. Those rights can last longer than a business warranty. Do not treat an expired warranty heading or an incomplete log as a complete answer to a consumer-law question. [2]
A record supports an enquiry; it does not decide whether a particular remedy is owed. Ask the business to assess the actual problem and explain its response. Save that response without paraphrasing a specific voluntary warranty term into a blanket statement about all legal rights.
Prepare a concise enquiry pack
Start with a one-page summary: product and order reference, installation date, issue, first discovery, present condition and the resolution you are seeking. Attach relevant photographs and documents, not the entire household archive. Keep the complete folder available if more detail is requested.
Example: for a recurring door problem, the pack includes the original installation view, dated observations, earlier adjustment advice and the current symptom. It does not need unrelated shopping receipts. The maintenance register supplies the timeline and the event folder supplies the evidence.
After the case closes, add the outcome, work completed and any follow-up. Your folder then remains useful for future maintenance, not just for the immediate enquiry.
Your practical checklist
- Separate purchase, installation, manuals, care and issue records.
- Link each maintenance row to the actual instruction and evidence.
- Keep uncertain dates explicitly uncertain.
- Send a focused issue summary rather than an unsorted archive.
- Retain the response and completed-work record.
Does a missing receipt or maintenance photo automatically end my rights?
Do not assume that. The ACCC distinguishes additional warranties from automatic consumer guarantees; the actual enquiry requires its own assessment. [2]
Should I overwrite an older manual with a new one?
Keep both, clearly dated or version-labelled, so the record shows which instructions were available when work was done.
